Feed More, Inc. (doing business as Central Virginia Food Bank, Meals on Wheels Serving Central Virginia and the Community Kitchen) is committed to protecting the privacy of the personal information of our donors, members, employees, and other stakeholders. We value the trust of those we deal with, and of the public, and recognize that maintaining this trust requires that we be transparent and accountable in how we treat the information that you choose to share with us.

During the course of our various programs and activities, we frequently gather and use personal information. Anyone from whom we collect such information should expect that it will be carefully protected and that any use of or other dealing with this information is subject to consent. Our privacy practices are designed to achieve this.

Defining Personal Information
Personal information is any information that can be used to distinguish, identify, or contact a specific individual. This information can include an individual’s opinions or beliefs, as well as facts about, or related to, the individual. Exceptions: business contact information and certain publicly available information, such as names, addresses and telephone numbers as published in telephone directories, are not considered personal information. We do not consider the acknowledgement of an individual’s name in a donor category in our annual report or other donor recognition materials to be personal information. Donors are offered the opportunity to make their contribution anonymously in all solicitation materials.

Where an individual uses his or her home contact information as business contact information as well, we consider that the contact information provided is business contact information, and is not therefore subject to protection as personal information.

Privacy Practices
Personal information gathered by our organization is kept in confidence. Our personnel are authorized to access personal information only based on their need to deal with the information for the reason(s) for which it was obtained. Safeguards are in place to ensure that the information is not disclosed or shared more widely than is necessary to achieve the purpose for which it was gathered. We also take measures to ensure the integrity of this information is maintained and to prevent it being from being lost or destroyed.

We collect, use, and disclose personal information only for purposes that a reasonable person would consider appropriate in light of the circumstances. We do not sell, trade, or otherwise share our mailing lists. However, if at any time you wish to be removed from our mailing list, simply contact us by phone at (804) 237-8602 or via e-mail at give@FeedMore.org. Please allow 15 days to allow us to update our records accordingly.


Chatbot Interactions and Data Retention
Feed More utilizes a chatbot to assist users with frequently asked questions and to provide general information. This chatbot does not intentionally solicit or collect personal information. 

We encourage users not to share sensitive or personally identifiable information (such as names, addresses, or health details) via the chatbot. For inquiries requiring confidential or personalized support, we recommend using our secure contact forms or speaking directly with a representative. 

Conversational Data
The chatbot may log conversation content to improve service accuracy and functionality. These logs are: 

  • Securely stored using encryption and access controls. 
  • Not linked to identifiable individuals. 
  • Not used for marketing purposes. 
  • Not shared with external third parties. 

If a user voluntarily provides personal information through the chatbot, it will be handled in accordance with Feed More’s broader privacy policy and applicable data protection laws. 

Geo-Location and IP Address Information
The chatbot and underlying engagement platform may collect and process IP address and geo-location data from both customers and non-customers, including visitors using computers or mobile devices. This data allows the chatbot to personalize interactions (for example, determining approximate user location or whether a user is logged in), enhancing the relevance of responses. 

  • Geo-location data derived from IP addresses is processed at the session level and not actively stored as personal data. 
  • IP addresses are not tied to user identities, contact information, or specific accounts. 
  • Geo-location data is only used to customize the chatbot experience and is not used for marketing or shared externally. 

Cookie Usage and Tracking Technologies
In addition to conversational data, cookies and similar tracking technologies (such as pixels and web beacons) may be used during chatbot interactions to: 

  • Personalize the chatbot experience. 
  • Collect non-personally identifiable information about website activity. 
  • Support performance optimization and service improvements. 
  • Enable tailored advertising based on general browsing behaviors and interests. 

These tools may be placed by Feed More or its authorized partners, and function even if not visible to the user. Users can control cookie usage through browser settings or opt-out mechanisms described in our full Cookie Policy.
