We’re looking for:
The USDA & Purchasing Coordinator will be responsible for the oversight of program development, implementation, and ongoing management of the Commodity Supplemental Food Program (CSFP) and The Emergency Food Assistance Program (TEFAP) in compliance with all regulations and policies of the Food and Nutrition Service (FNS) of the United States Department of Agriculture (USDA) and the Virginia Department of Agriculture and Consumer Services (VDACS). Responsibilities include but are not limited to: recruitment of participants and maintenance of assigned caseload; food allocation and distribution; nutrition education materials; tracking of caseload participation, required documentation, and inventory at the site and/or agency level.

FLSA Status: Full-time Salaried Exempt
Supervisory Responsibilities: Administration of volunteers and other clerical help if needed
Budgetary Responsibilities: CSFP Program budget
What you’ll do:
- Enroll CSFP and TEFAP distribution sites throughout Feed More’s service area through collaboration with Feed More Agency Relations staff and/or community partners
- Select and procure TEFAP and CSFP product based on entitlement awarded, availability, food bank capacity and partner agency needs
- Work with AR team to develop and maintain caseload requirements
- Provide guidance to AR team surrounding capacity of USDA programs
- Create and process all monthly orders for distribution in Ceres for CSFP and TEFAP
- Receive monthly agency/site inventory reports from Director of Agency Relations and submit to VDACS as required
- Have working knowledge and perform duties of purchasing role in order to back up Senior Procurement Manager as needed
- Manage report preparation and filing in compliance with VDACS and USDA regulations
- Organize trainings and refreshers for Feed More staff, when applicable, to ensure compliance with all regulations, address distribution challenges, or compliance issues
- Provide nutrition and other education for caseload as required by USDA
- Attend all required meetings and trainings
- Prepare, maintain, and submit all written records and reports to VDACS in an accurate and timely manner
- Perform all duties as outlined by grants awarded to Feed More in relation to USDA programs
- Perform all duties and maintain all standards in accordance with company policies and procedures
- Other duties as assigned by supervisor
Must have:
- Two or more years’ experience in administrative support experiences
- Strong customer service and outreach expertise
- Highly organized; ability to multi-task; strong problem solving, written and oral communications skills
- Strong database management skills
- Strong interpersonal and time management skills
- Ability to interact effectively with individuals of diverse backgrounds, experiences, age, and personalities
- Excellent computer skills including Microsoft Office and database software
- Ability to work with a minimum of supervision, show initiative, flexibility, work in a team environment, prioritize work, and meet deadlines
Ideally, will have:
- Bachelor’s Degree in Human Services, Business or Social Work
- Experience with USDA programs and reporting requirements
- Prior experience with non-profit organizations and/or community organizing
- Prior experience with grant administration and/or implementation
- Ability to lift and carry 40 pounds
- Food Safety certification or ability to attain same
- Bilingual English/Spanish
